Mount Hermon Association, Inc. ("Mount Hermon") runs Vehicle Checkout (also called Mount Hermon Vehicles) so staff and approved drivers can reserve, pick up and return Mount Hermon vehicles. This page explains what information we keep and how we use it.
What we collect
- Your name, email address, department and, if you give it, your mobile number.
- Your reservations and trips: vehicle, times, purpose, passengers, odometer and fuel readings.
- Issue reports and photos you submit about a vehicle.
- Key box codes issued for your trips, and when they were used.
- Your notification choices: email, text or both, and, if you agree to texts, the date and time you agreed, the number you agreed for and the wording you agreed to.
We do not store driver's license details.
How we use it
Only to run the vehicle reservation system: to manage bookings, keep vehicles safe and maintained, and send you messages about your reservations (booking confirmations, pickup reminders, overdue return alerts and key box codes).
Text messages (SMS)
- We text you only if you choose texts on your Profile page and tick the box agreeing to them.
- No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties.
- We use a text message provider (Twilio) only to deliver our messages to you. Your number is not sold or rented to anyone.
- Reply STOP at any time to stop texts, or HELP for help. You can also change your choice on your Profile page.
Who can see your information
Mount Hermon fleet administrators, and other signed-in members for the shared schedule (who has which vehicle and when). Your key box codes are visible only to you and the fleet administrators. We use service providers to host the system (Railway, Supabase), send email (Resend) and send texts (Twilio); they handle the information only to provide those services to us.
How long we keep it
As long as you use the system and as needed for Mount Hermon's records. Records of your agreement to texts, and of stopping them, are kept as proof of your choice.
Your choices
You can change how you get notifications on your Profile page at any time. To correct or remove your information, contact us.
